It is vital that all who undertake any duties or
responsibilities with the Junior Section, Blandford Rugby Football Club have
these roles clearly defined. Set out below are the roles and responsibilities
for each position:
Chairperson
- Chair meetings of the Junior Section Committee.
- Set the agenda and control discussion in meetings.
- Make decisions in consultation with other officials.
- Play an executive role as the principal officer
throughout the year.
- Act as a focal point for external agencies in
conjunction with the Secretary.
- Represent the Junior Section at Senior Club committee
meetings and/or County meetings.
- Provide the Club Webmaster with any relevant information
for publication on the Club website.
- Any other tasks to ensure the smooth running of the
Junior Section
Vice Chairperson
- Undertake the role the Junior Section Chairperson in the
absence of the Chairperson, both at training sessions, matches and committee
meetings.
- Represent the Junior Section at Senior Club committee
meetings and/or County meetings in the absence of the Chairperson.
- Head up any sub-committees formed at the request of the
Junior Section Committee. Reporting back to the Junior Section Committee on the
progress/work.
- Assist any other appointee as required to ensure the
smooth running of the Junior Section
Club Secretary
- Principal administrative officer acting as the main link
between the committee and external agencies.
- Act as the first point of contact for an outsider.
- Produce clear and accurate minutes of all Junior Section
Committee Meetings within one week of the meeting and distribute to all coaches
and administrative staff.
- Any other tasks to ensure the smooth running of the
Junior Section
Treasurer
- Administer the Junior Section account.
- Prepare income and expenditure accounts and cash flow
forecasts.
- Administer the club account including the payment of
invoices and bills on behalf of the Junior Section.
Fixtures Secretary
- Arrange matches with other clubs in the appropriate age
groups.
- Contact coaches regarding fixtures and tournaments.
- Produce a fixture list for the season.
- Provide the Club Webmaster with details of all Junior
Section Fixtures for publication on the club website, including any amendments
or alterations.
- Arrange for a suitably qualified referee to be available
for matches as required by the RFU regulations i.e. County Cup Matches.
Social Secretary
- Organise all club social events or delegate to a member
of the committee.
- Promote forthcoming events.
- Book venue(s), arrange transport, food or any other
aspects of an event.
Registration Member
- Ensure that all club Junior players are registered with
the Club and RFU before playing matches or Festivals.
- Register Junior players on Rugby First in accordance
with current instructions all completed registration forms as instructed by the
RFU.
- Hold and continually update data and details of all
members on the Junior Section Database.
- Maintain and update as required the Coaches Database.
- Collect annual subscriptions and pass to the Treasurer
at the earliest opportunity.
- Provide Social Secretary with members details to assist
in the organisation of events or functions.
- Liaise with the County Registrar on Registration
matters.
- Request details from Team Coaches and Managers and
expect responses
- Produce and distribute to the parents and carers of all
members of the Junior Section the Pre Start Season Pack.
- Any other tasks to ensure the smooth running of the
Junior Section
- Provide all Age Group coaches with a pack containing
players contact details, medical information, photographic consent forms and
blank Reportable Injury forms. This pack is to be updated on regular intervals.
Schools Liaison Member
- Create and develop links within the local schools to
promote junior rugby.
Publicity Member
- To develop an awareness of the club in the community.
- Arrange the publication of matches, results and other
features in the local press
- Provide the Club Webmaster with match reports and other
articles of interest to the Junior Section for publication on the Club website.
Welfare/Child Protection Member
- Ensure that BRFC Junior Section has a Child Protection
Policy and develop a self monitoring strategy.
- Ensure Codes of Conduct are well publicised and adhered
to.
- Ensure that all reported incidents are managed at the
appropriate level in line with RFU/RFUW procedures.
- Ensure that all relevant club members are aware of the
training opportunities available.
- Ensure all parents, children and young people are aware
of the club policy on Child Protection/Welfare and the correct procedures and
channels for voicing concerns.
- Ensure that all adults who have regular contact with
young people undertake the Criminal Records Bureau (CRB) Disclosure application
procedures in accordance with RFU/RFUW Policy.
- Be aware of local Social Services and other appropriate
organisations concerned with the welfare of young people.
- Attend all relevant club and county meetings.
Coaching Coordinator
- To recognise, promote and manage the personal
development for all coaches.
- Encourage all coaches to become formally qualified.
- Identify potential coaches to fill coaching posts within
the club.
- Promote the RFU Code of Conduct for Coaches and to
develop the club policy. Seek support from and promote contacts with all
Sporting bodies.
- Ensure the Club is fully represented at the D&W
Junior Forum
Age Group Administrators/ Team Managers
- Be responsible for ensuring all players are registered
with Club and RFU.
- Collect subscriptions and registration forms and pass to
Junior Club Registrar at the earliest opportunity.
- Ensure the Club Welfare Policy is adhered to within the
Age Group, liaising with Club Welfare Officer as required
- Act as primary channel for the flow of Club information
to Parents and Coaches
- Provide feedback and communication between Parents and
Coaches, liaising with other Club officials as required
- Ensure coaches and Helpers submit CRB forms to the
Welfare Officer.
- Maintain register of players within age group
- Act as coordinator for special sub committees when tasks
allocated to age groups
- Adhere to and ensure everyone associated with the
Age-Group follows the Club Codes of Practice.
- Ensure all players in the Age Group return the
documentation in the Pre Season Start pack, issued by the Junior Section
Registrar.
- Ensure in conjunction with the Age Group Lead Coach that
the team's first aid kit is available at all times and there is a suitable
means of contacting the emergency services.
- Arrange a rota of parent volunteers within the Age Group
to assist with the catering and match day tasks i.e. Teas and Coffee, or the
cleaning of the playing strip when it is the responsibility of the Age Group to
undertake the role.
Age Group Lead Coaches
- Lead the Coaching team for the age group in accordance
with the RFU continuum of Rugby and Club Policies
- Provide a suitable level of Rugby Coaching to Children,
ensuring fair play, Safety and fairness at all times
- Hold a suitable RFU Coaching Certificate. Copies of all
coaching certificates are to be passed to the Welfare Officer.
- Make individual learning and team selection decisions in
liaison with assistant coaches
- Ensure assistants provide the coaching practices and
team direction appropriate to the age of children
- Ensure all assistants are properly qualified and cleared
to work with Children, Liaising with the Team Manager as required
- Referee practice games and inter-club fixtures
- Ensure that children within their age group are
supervised at all times, especially when using any training aids e.g. The
Scrummage Machine.
- Adhere to and ensure all players, coaches and spectators
follow the Club Codes of Practice.
- Liaise with the Age Group Team Manager to ensure that
all children in the age group have registered and paid their subscriptions.
Assistant Coaches
- Under the direction of the Lead Coach, assist coaching
activities
- Under the supervision of the Lead Coach, organise and
run coaching sessions
- Referee practice games and inter-club fixtures
- Adhere to and ensure others follow the Club Codes of
Practice.
- Attend a suitable RFU coaching course and work toward a
suitable RFU Coaching Certificate. Copies of certificates from these courses
are to be provided to the BRFC Welfare Officer.
General Members
- Attend committee meetings and undertake activities as
delegated by the Chairman.
- Assist other committee members on an ad hoc basis
Dealing with Media Enquires
The
Chairperson, Vice Chairperson and Welfare Officer will together deal with any
enquiries from the Media. They will ensure that the RFU Regional Media Officer
is fully informed of any approach by the media regarding any young person,
coach or member of the administrative staff. |
